Venues privacy statement

This privacy notice explains what information the council needs in order to deliver the services offered by the Winding Wheel, the Pomegranate Theatre and other venues the council manages. 

In order to provide these services, it is necessary for the council to collect, store and process personal data relating to event attendees and organisers. 

Safeguards are in place to ensure that this data is kept secure and the privacy of individuals is protected.

This privacy notice should be read alongside the council’s main privacy notice.

 

Who is responsible for your information?

Chesterfield Borough Council is the data controller for the personal information collected.

 

How is your information collected?

We may collect information about you from the following sources:

  • information you have provided to us
  • information provided to us by the person who made your booking (in the case of group bookings for example)iInformation collected by cookies about the way you use our website

 

Customer records

Purposes of processing your personal data

If you book a ticket to one of our shows or events, we will use your information to contact you if the event details change. We may also use this information for internal reporting, or to contact you to review the quality of the service we provide. If you provide us with accessibility requirements, we will use this information to make sure that any necessary arrangements are in place.

Categories of personal data and lawful basis

We may need to collect the following information from you:

  • contact details
  • payment card details

Under data protection legislation, processing of your information is allowed because it forms part of the performance of a contract, or because it is in our legitimate interests (for example customer satisfaction surveys).

You can sometimes book a ticket for an event without providing contact details, but you would not be informed about changes or cancellations of an event.

Your card payment details are not stored on our system.

Categories of sensitive personal data and lawful basis

We may need to collect the following sensitive information from you:

  • accessibility requirements

Under data protection legislation, processing of your sensitive data is allowed because we have the explicit consent of the individual. 

You do not have to provide use with this information in order to book a ticket, but please be aware that we only have a limited number of wheelchair accessible seats. If you do not tell us about any accessibility requirements in advance, we cannot guarantee we will be able to accommodate you.

 

Information about upcoming events and offers

Purposes of processing your personal data

We will also use your information to provide you with details of upcoming shows and events happening at our venues. Please note that we may still contact you about changes to the event that you have booked tickets for.

We need to collect the following information from you:

Under data protection legislation, processing of your information is allowed because we have your consent or because we have a legitimate interest in contacting previous customers about upcoming events and offers. 

You do not have to agree to this processing to book a ticket for an event or show, and you can withdraw your consent or opt out of receiving marketing material at any time. You can do this easily by contacting the box office 01246 345222 or box.office@chesterfield.gov.uk or clicking the unsubscribe link at the bottom of our emails.

 

Friends of the theatre

Purposes of processing your personal data

When you sign up as a Friend of the Theatre, we will process your personal information in order to administer priority tickets purchases and the Friends discount, and to contact you about your membership and upcoming shows and offers.

Venue hire

Purposes of processing your personal data

If you hire one of our venues, we will use your information to administer your booking. We may also use this information for internal reporting, or to contact you to review the quality of the service we provide.

Who we share your personal data with

In order to send you information, we need to share your contacts details with third parties that provide functions on our behalf. We have contracts and safeguards in place to ensure that your information is kept safe and secure and only processed for the purposes stated above. This includes our mailing house (currently Arcane Direct Marketing) and our email newsletter management system (currently Dotdigital). 

If there is a last-minute change to an event, we may send you a text message (if you have provided us with a mobile number) to inform you of the change. To do this we use the third-party provider TxtLocal Limited. Read the TxtLocal Limited privacy statement.

When you book tickets for a show or event, your booking will be processed through our system hosted by Spektrix Ltd.

Spektrix Ltd use servers based in the EEA.  For more information, please see their respective privacy notices. Spektrix Ltd store data on behalf of Dotdigital.

We also use forms created and hosted using Wufoo on the chesterfieldtheatres.co.uk website; data entered through these forms is stored in Wufoo’s servers.

Wufoo use servers based in the USA, so your data will be transferred outside of the EEA. Wufoo (SurveyMonkey) are signed up to the privacy shield scheme that ensures US based organisations maintain equivalent privacy protections to those in force in the EEA.
