This privacy notice explains what personal information the council’s financial teams process.

Safeguards are in place to ensure that this data is kept secure and the privacy of individuals is protected.

Who is responsible for your information?

Chesterfield Borough Council is the data controller for the personal information collected.

Purposes of processing your personal data

Our finance teams process personal information in order to send out invoices, pay invoices, and recover debts. In some cases this includes sharing personal information with credit reference agencies. We may also process your information for the prevention or detection of crime or fraud.

Categories of personal data and lawful basis

As part of our financial procedures, we need to process personal information about tenants and potential tenants, suppliers, creditors and some service users. In some cases, we will also process information about the financial associates of any of the above.

The following categories of personal data are processed for these purposes:

  • current contact details
  • previous addresses
  • National Insurance Number
  • age
  • card payment details

Under data protection legislation, we are permitted to use your information this way because it forms part of the performance of a contract, or because we have a statutory duty to fulfil.

Categories of sensitive personal data and lawful basis

In order to provide this service, we may need to process some or all of the following categories of sensitive personal information:

  • health information

Under data protection legislation, we are permitted to use your information this way because it is for reasons of substantial public interest.

Who we share your personal data with

We are legally obliged to share some information with HM Revenues and Customs.

We will share information with credit reference agencies (CRA) in order to trace debtors, and to support the screening process for potential commercial tenants. As a result of these processes, we will also receive information about you from CRAs, and the CRA may go on to share your information with other organisations. We use Experian to trace debtors.
